Description of processing
The following is a broad description of the way the Club Committee as data controller processes personal information. To understand how your own personal information is processed you may need to refer to any personal communications you have received or contact the Secretary to ask about your personal circumstances.
Reasons/purposes for processing information
We process personal information to enable us to administer our membership records and activities; maintain our own accounts and records, and any other activities as decided by the Committee.
A member’s details will be deleted when they resign from the club.
Type/classes of information processed
We process information relevant to the above reasons/purposes. This includes only:
• personal contact details (address, telephone, email etc.)
• family details, i.e., spouse/partner and/or emergency contact
• previous profession
• general interests
Who the information is processed about
We process personal information solely about our club members. Information on deceased members may be retained solely in order to maintain contact with partners of deceased members, who may be invited to attend certain club outings or lunches.
With whom the information may be shared
We only need to share the personal information we process with the individual themselves, and members of the Committee. A members’ directory containing basic contact details is published for members annually. Under exceptional circumstances (i.e., emergency, accident etc.) we may need to share certain details with other organisations and/or individuals Where this is necessary we are required to comply with all aspects of the Data Protection Act (DPA).
Where necessary or required by law we may share information with family, associates and representatives of the person whose personal data we are processing.
Access to the information
Club members may request a copy of their personal information, at any time. Such requests will always be complied with as soon as practicably possible.
